Receptionist, Short Term Housing Program

Who We Are: CAMBA is a community of staff, volunteers, clients, donors, neighbors and partners who work together to build an inclusive New York City, where all children and adults have access to the resources and supports they need to thrive.  We take a comprehensive approach by offering more than 160 integrated programs in:  Education & Youth Development, Family Support, Job Training & Employment Support Services, Health, Housing, and Legal Services. We reach more than 65,000 individuals and families each year at our 90 locations, including 20,000 youth.  CAMBA serves a diverse cross section of New Yorkers from new mothers in Brownsville to job seekers in the Rockaways. More than half of our clients are immigrants and refugees from around the globe. Over 85% of our families are in living in poverty, reflecting the challenges faced by nearly 1.7 million New Yorkers today. 

Short Term Housing Program: CAMBA's Short Term Housing Program (STHP) provides 42 units of congregate and transitional housing to PLWHA who are homeless or at serious risk of homelessness.  There are 8 clients residing at CAMBA's congregate facility located at 27 Winthrop Street and 34 clients living in community apartments.   Program staff will ensure that all apartments are in close proximity to public transportation and accessible to other amenities such as health care, shopping, laundry and other necessary services. There are 7 families and 13 share units.  STHP housing program provides a model of service that addresses the interrelated problems of HIV and homelessness. Through a congregate residence at 27 Winthrop, and shared and family apartments in the community, we provide transitional housing, case management support, and housing readiness training in a supportive environment, which will help clients develop the skills to find and maintain permanent, stable housing.  Clients will complete an assessment and service plan development within 30 days of program enrollment.  Clients will complete a reassessment and a service plan update every 90 days thereafter.

Position: Receptionist/Data Reporting Specialist

Reports To: Program Manager

Location: 27 Winthrop Street, Brooklyn NY 11225​

What The Receptionist Does:

  • Retrieve messages from general voicemail and forward to appropriate personnel.
  • Take or deliver messages or transfer calls to voicemail when appropriate personnel are unavailable.
  • Answer questions about organization and provide callers with address, directions, and other information.
  • Welcome onsite visitors, determine nature of business, and announce visitors to appropriate personnel.
  • Monitor visitor access and issues passes when required.
  • Update appointment calendars.
  • Receive, sort, and route mail, and maintain and route publications.
  • Maintain fax and copy machines, assist users, send faxes, and retrieve and route incoming faxes.
  • Prepare travel vouchers.
  • Update site bulletin board weekly.
  • Maintain the professional appearance of the receptionist's area.
  • Create and print fax cover sheets, memo, correspondence, report, program marketing materials, and other document when necessary.
  • Perform other clerical duties as needed, such as filing, photocopying, and collating.
  • Prepare and sort source documents, and identify and prepare data to be entered.
  • Contact preparers of source documents to resolve questions, inconsistencies, or missing data.
  • Enter data from source documents into computer.
  • Compile, sort, and verify accuracy of data entered.
  • File or route source documents after entry.
  • Create and maintain client files and make copies of all client documents.
  • Input client data (i.e. client services, outcomes, contact information, etc) and client progress information into automated database.
  • Provide all required information for weekly/monthly/quarterly/annual reports (i.e. client services reports, documentation ticker/ tracking reports, client contact reports).
  • Respond to inquiries regarding entered data.
  • Prepare managerial and funder reports based on previously approved report templates.
  • Design new report templates to satisfy new or changing management/funder needs.

Minimum Education/Experience Required:

  • Sufficient education (English-speaking, -reading, -writing, & math abilities) to comprehend oral and written information and to assist callers and visitors and staff.
  • Ability to type 25 words per minute.​
