Database & Operations Manager, Strategic Partnerships - Development Unit

The Development Unit is part of CAMBA's Office of Strategic Partnerships which includes Development, Marketing & Communications, and Advocacy.

Essential Duties and Responsibilities:  (1) Serve as primary administrator for the Donor Perfect Online (DPO) database, entering and acknowledging gifts in a timely manner (2) Serve as primary administrator for the Donor Search research tool, updating records with demo/gift data and running semi-annual NCOA timed for mailing efficiency. (3) Create and reconcile revenue reports.

  • Enter donations within 48 hours of receipt, including pledges, in-kind gifts, and soft credits
  • Generate donor acknowledgement letters for approval within 3 days of receipt, get live signatures according to protocol and post hard copy within 5 days of receipt
  • Import donor group emails to Constant Contact for e-blasts
  • Generate queries, analysis reports, snail mail and email lists as requested
  • Work with Fiscal Department to create a monthly revenue reconciliation process.
  • Work with Executive and Fiscal Departments in tracking public/private partnership funding
  • Maintain accurate and timely reporting of monthly revenue, Board of Directors' direct and solicited giving, event sponsorships, Annual Fund campaign, institutional giving, full year-end analysis, and donor listing in annual report.
  • Update and maintain DPO donor records, mailing lists, and annual clean-up including NCOA
  • Work with Donor Search to update all donor records, highlighting promising prospects
  • Reach out to programs/sites for in-kind donor and volunteers lists on a quarterly basis for timely and appropriate acknowledgement of their support
  • Train staff to maximize use of DPO, including moves management
  • Add individual notes/actions and 'global actions' in a timely manner, including actions for institutional giving as requested.
  • Support the SVP and DOD in growth of individual giving, including the Annual Fund and major gifts from individuals;
  • Assist with fundraising activities (i.e., online fundraising, working on collateral and participating in fundraising events, as requested).
  • Maintain strict confidentiality regarding donor information (signed NDA required)

MINIMUM EDUCATION/EXPERIENCE REQUIRED:

College degree and/or significant related work experience (5+years).

OTHER REQUIREMENTS:

  • Expertise with donor database management, preferably Donor Perfect
  • Knowledge and proficiency with donor research tools, preferably Donor Search
  • Expertise with MS Excel including advanced functions; experience working with raw data to build meaningful reports, including drawing conclusions and presenting in narrative form
  • Excellent writing/editing and verbal communication skills; problem-solving experience; able to multi-task
  • Proficiency with other Microsoft Office tools (Word, Powerpoint)
